This Privacy Policy explains how Village Alerts (“Village Alerts,” “we,” “us” or “our”) collects, uses and protects information when you receive community notifications from us or use the Village Alerts website and application. Village Alerts provides a notification service that homeowners associations, property managers and similar community organizations (“Community Associations”) use to communicate with their residents.
Information we collect
From residents
- Contact details: your name, mobile and landline phone numbers, email address and preferred language.
- Residence details: your household name and address, and the community you belong to.
- Consent records: how and when you opted in or out of messages, including the keyword you texted, the phone number used, and the date and time of your confirmation.
- Message records: the notifications sent to you, their delivery status, and replies such as STOP and HELP.
- Mobile app information: if you use our mobile app, a device notification token so we can send push notifications.
This information is provided by you directly (for example, when you sign up on our SMS opt-in page or text START) or by your Community Association, which manages its list of residents in Village Alerts.
Text messages are sent only to people who opt in themselves. The only ways to subscribe to Village Alerts text messages are for the owner of the mobile number to sign up with the form on our SMS opt-in page (entering their mobile number and checking the unchecked consent box) or to text START to +1 (434) 694-2067. When you sign up on the website, we record your mobile number, the name and community you enter, the consent wording you agreed to, and the date, time, IP address and browser of the sign-up, as proof of your consent. A phone number added to a resident list by a Community Association does not receive text messages unless its owner opts in this way. We never buy, rent or import consent, and consent given for Village Alerts is not transferred to or shared with any other program or organization.
From community administrators
- Account details such as name, email address, role and login credentials.
- Usage information such as log data, IP address, browser type and the actions taken in the application.
How we use your information
- To deliver the community notifications you or your Community Association requested, by text message, voice call, email or app notification.
- To record, verify and honor your consent, including processing STOP opt-out and HELP requests.
- To convert written notices into spoken audio for voice calls.
- To operate, secure, maintain and improve the Village Alerts service, and to provide customer support.
- To comply with legal obligations and enforce our Terms & Conditions.
We do not use your information to send you advertising, and we do not sell personal information.
Text messages (SMS)
- Program: Village Alerts community alerts — notices from your Community Association such as emergencies, utility shut-offs, maintenance, street cleaning, gate and pool notices, meetings and events.
- How to opt in: sign up at villagealerts.com/opt-in, or text START to +1 (434) 694-2067. You will receive a confirmation text naming Village Alerts, with help and opt-out instructions.
- Message frequency varies depending on your community’s announcements and any urgent notices.
- Message and data rates may apply.
- Opt out: reply STOP at any time. Help: reply HELP or email support@villagealerts.com.
- Carriers are not liable for delayed or undelivered messages.
How we share information
We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
We share information only as needed to provide the service:
- Your Community Association, whose administrators can see the contact and residence details in their resident list and the delivery history of their notifications.
- Service providers that operate parts of the service on our behalf — telecommunications and messaging carriers, email delivery, text-to-speech and hosting providers — solely to deliver messages and run Village Alerts, and under obligations to protect the information.
- Legal requirements, when required by law, legal process or to protect the rights, safety and property of our users or others.
All of the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Your choices
- Text messages: reply STOP at any time to stop receiving texts. Reply HELP for help.
- Email: use the unsubscribe link in any email, or contact us.
- App notifications: turn them off in your device settings.
- Access, correction and deletion: email support@villagealerts.com to request a copy of your information, correct it or delete it. We may keep a record of your opt-out so that we continue to honor it.
Data retention
We keep your information for as long as you receive notifications through Village Alerts or your Community Association uses our service. We keep consent and opt-out records for as long as needed to demonstrate compliance with applicable law, then delete or anonymize them.
Security
We use administrative, technical and physical safeguards, including encryption in transit and access controls, to protect your information. No method of transmission or storage is completely secure, but we work to protect your information and limit access to those who need it.
Children
Village Alerts is not directed to children under 13, and we do not knowingly collect personal information from them. Our text message program is intended for adults 18 and over.
Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version on this page with a new “Last updated” date.
